Privacy policy

2. Data covered
For enquiries and orders, we process the contact, identification and billing information you provide, together with correspondence and documents needed for the service. Send only information necessary for the agreed task. Do not send passwords, one-time codes or login credentials.
3. Purposes and legal bases
Steps towards a contract and performance of a contract with the data subject: GDPR Article 6(1)(b). Other correspondence, contact with client representatives, and establishing, pursuing or defending claims: Article 6(1)(f); the legitimate interests are effective communication and protection of rights. Tax and accounting obligations: Article 6(1)(c). Where an activity requires consent, its purpose and scope are explained separately.
4. Providing information
Providing data when contacting us is voluntary. Without the information needed to respond or carry out the order, we may be unable to help. Certain billing details are required by law.
5. Recipients
Where necessary, data may be received by email, telephone, hosting and technical support providers, accounting service providers and authorised public bodies. Email correspondence uses Gmail (Google). Documents are sent to authorities or other designated recipients only within the order, applicable authorisation or a legal obligation.
6. Google services and transfers outside the EEA
Email correspondence uses a standard Gmail account, not Google Workspace. Google processes data under its privacy policy. Processing may occur outside the EEA. Google describes transfer grounds and safeguards, including adequacy decisions and standard contractual clauses, in the documentation linked below. Information about safeguards may be obtained from the provider or by contacting us. Describe your initial enquiry without sending documents containing sensitive personal data; we will agree separately how to transfer them.
Hosting and data transfers
This website is hosted by OpenAI through ChatGPT Sites. Processing on our behalf is covered by the ChatGPT Sites Data Processing Addendum; for EEA service users, the contracting entity under this addendum is OpenAI Ireland Ltd. It covers hosting, maintenance, support and subprocessors. Data may be processed outside the EEA with the safeguards described in the addendum, including standard contractual clauses where applicable. We do not claim exclusive storage in Poland or the EU.
7. Retention
enquiries not leading to a contract - up to 12 months after correspondence ends, unless a shorter period suffices. Order documents - for service delivery and then only as needed for legal obligations or claims, until the relevant limitation periods expire. Tax records - generally five years from the end of the year in which payment of the tax became due; suspension or interruption of limitation periods may extend retention. Unnecessary working copies should be deleted after completion.
8. Your rights
Subject to GDPR conditions, you have rights of access, rectification, erasure, restriction, data portability and objection to processing based on legitimate interests. Where processing is based on consent, you may withdraw it without affecting prior lawful processing. You may complain to Poland’s data protection authority, the President of UODO. To exercise your rights, email the contact above.
9. Documents about other people
SPLOT’s role depends on the task. Where documents are processed on behalf of a client acting as controller, processing terms must be agreed before transfer. This policy does not replace a data processing agreement or notices to third parties.
10. Technical data and cookies
No advertising, analytics, data submission forms or external fonts have been added to the website code. The website does not store client documents or create client accounts. During visits, provider infrastructure may process IP addresses, device and browser information, request details and security logs to deliver and operate the website and prevent abuse (GDPR Article 6(1)(f)). Technical data is retained to the extent and for the time needed for service delivery, security and legal obligations under the provider’s terms. OpenAI’s cookie notice explains cookie purposes and durations. We use no advertising or analytics cookies of our own.
11. Automated decisions and updates
Enquiry and order handling does not envisage solely automated decisions with legal effects or client profiling. This notice must be updated when tools, providers or service arrangements change. Prepared: 3 November 2026.
